Portolan Studio is a design studio run by Heydar Hedayati in Vancouver, British Columbia. This page explains what personal information we collect, why, and what you can ask us to do with it. Questions go to [email protected].
What we collect
- When you send the project form: your name, email, company or website if you add it, what you tell us about the project, and any estimate you built. We also record your IP address, country and browser type to stop spam and abuse.
- When you write to us: your message and email address.
- When you become a client: contact and billing details, and the files and messages we exchange during the project.
- When you visit: we count visits with Cloudflare Web Analytics, which does not use cookies and does not identify you. This site sets no cookies.
Why we use it
To reply to you, prepare a quote, run the project, send invoices and keep the records the law requires. We do not sell personal information and we do not use it for advertising.
Who processes it for us
- Cloudflare hosts this site and stores form submissions.
- Resend sends the confirmation email when you submit the form.
- Google hosts our email.
- Stripe processes card payments. We never see or store your full card number.
These companies may store information outside Canada, including in the United States, where it is subject to the laws of that country.
How long we keep it
- Briefs that do not become a project: up to two years, then deleted.
- Client and billing records: at least six years, as the Canada Revenue Agency requires for business records.
- You can ask us to delete your brief at any time.
Your choices
You can ask to see the personal information we hold about you, to correct it, or to delete what we are not required to keep. Write to [email protected] and we will answer within 30 days.
If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
